Jason Windows is Western Australia’s largest supplier of windows, doors, and security screens. They’ve been in the business since 1959, and continue to be the market leader in the region thanks to quality products, design, and excellent customer service.
Planning time cut from one day to 15 minutes
Before they found Routific in 2021, one team member at Jason Windows spent an entire day planning the next day’s routes for their large fleet of delivery vehicles.
“Routific has been a godsend,” said Hamu Sydney, Dispatch Supervisor at Jason Windows. “Two people doing that for an entire day or two of the working week. That was quite literally dead time to us.”
“Routific has taken the job of one person and an entire day and transformed it into a 10 to 15-minute process. It equates to huge savings.”
Keeping track of drivers and jobs
At Jason Windows, drivers also install window frames and may spend a few hours at a customer site. Previously, there was no way to monitor or measure their progress.
Routific offers Hamu and the team at Jason Windows several ways to monitor jobs in progress:
- Live driver tracking.
- Drivers can upload multiple photos to record their work on site.
- The driver app makes it easy to send notes to the dispatcher for good record keeping.
“We want to maintain visibility at our company — what jobs are going out, what window frames have been delivered,” Hamu said. “Our customer service team can log into Routific and see the deliveries and all the updates live. It helps to keep the entire team informed and on the same page.”
Automated customer communication
Routific sends automated messages with regular ETA updates to Jason Windows’ customers so they know when to expect their driver to arrive.
“It was really easy to set up and it worked perfectly. Now, I don’t have to spend half my day responding to customers,” Hamu said. “With the time saved using Routific, my team and I are able to focus on important projects such as rolling out new safety initiatives and making sure our operations are more efficient.”
Business insights and learnings
One of the reasons for Jason Windows’ success is because they keep an eye on the numbers. Hamu uses Routific’s Insights feature to track key delivery metrics:
- Jobs completed: The number of client installations completed by each driver.
- Frame Rate: The number of window frames delivered per kilometers driven. This helps managers track the overall efficiency of their operations.
- Distance driven: Some client sites are very far away. Jason Windows offers a small incentive to drivers when they take on longer routes, as a way to balance the workload.
- Driving time: How long each driver is spending on the road.
The numbers are presented to senior management, and printed out for drivers to see.
“This is very insightful information, and my drivers like to see the kilometers vs. frames rate. This is one of our efficiency KPIs, which gives us a gauge on the average number of kilometers travelled per frame – a KPI set by our CFO,” Hamu explained.
In addition, the numbers Hamu exports from Routific enable him to effectively manage driver workloads, driver fatigue, and vehicle maintenance:
“All of the stats from the insights allow me to analyze which drivers are traveling more, which vehicles are nearing routine service requirements, and the number of hours worked by driver,” he said.
Staying competitive
Jason Windows continues to thrive and grow in a competitive landscape due to their core values: teamwork, taking responsibility, trust, and total commitment.
Their investment in smart logistics software is also a testament to their business acumen and willingness to modernize operations to increase efficiency and productivity, reduce manual work and overhead, and improve customer service.
“We love leaning on the newest tech to help us get the work done,” Hamu said. “Installing doors, windows, and screens involves a lot of manual handling and working in the elements, but it is very rewarding.”
